  • Overview

    The role is responsible for coordinating a variety of tasks including operations, facilities and administrative related functions.  This integral role will act as an information hub for the entire design team including managing office wide calendars, preparing budget documents, assembling documentation for meetings and overseeing the design facility.  Additionally, the manager will oversee the Executive Assistant to ensure all deadlines and tasks are being managed appropriately.


    The Activewear Design Operations Manager duties include, but are not limited to:

    • Create, track and update over 30 office-wide seasonal design PDD calendars in Outlook and administer permissions.
    • Partner with WS timeline management team to ensure PDD calendar information is accurate.
    • Develop decks, project plans and script recaps for critical meetings.
    • Manage calendar task definition data.
    • Create meeting invites for design milestone meetings in partnership with the cross-functional team.
    • Work at the discretion of the Sr. Manager in the timely execution of project plans.
    • Update departmental budget document as changes arrive from the design department.
    • Maintain invoice coding in Cor360 and prepare for manager’s approval.
    • Supervise, delegate and mentor Executive Assistant to ensure work is being done in an efficient and timely manner.
    • Manage all facilities issues in partnership with the WS facilities team including coordinating outside vendors, office cleanliness, repairs, badge management and correction of safety issues.
    • Facilitate usage of the Champion showroom by managing showroom availability, coordinating seasonal visual updates, and managing catering for meetings in partnership with the sales team.
    • Create a system for organizing and ordering office supplies and manage within the monthly budget allocation.
    • Manage all IT and telephone issues in partnership with the IT team.
    • Create, distribute and maintain office policy at the direction of HR and Sr. management.
    • Act as a liaison for HR in the NY Office, including on-boarding new freelance/hires.
    • Take the lead in roll out all HbI corporate initiatives including United Way and the wellness program to the NY design office.
    • Responsible for overseeing special projects at the discretion of management.
    • Handle any and all requests necessary to ensure the smooth, orderly and professional functioning of the Activewear NY Design office as per HbI standards.
    • Required to carry a mobile device at all times during working hours in order to be reached by phone or email as needed.
    • Incumbent must demonstrate a high level of integrity, confidentiality and the ability to be involved in multiple projects simultaneously. Must be able to prioritize, and work under pressure.  Incumbent must be able to keep projects moving while working under multiple situations.



    Minimum Education and Experience Required: 


    • 4-year college degree or 3 to 5 years’ relevant office experience
    • Extremely proficient in the Microsoft Office Suite
    • Excel with communication / interpersonal skills
    • Ability to multi task and work at a fast pace
    • Understanding of business operations and facilities maintenance
    • Ability to work under pressure
